SUMMARY: This position establishes and maintains the student attendance record keeping system.  It also provides secretarial/clerical, public relations and registration services.  Responds to inquiries from District staff, students, parents and the public to provide information, and/or refer to appropriate parties.

 

ABOUT CHIEF LESCHI SCHOOLS:  Formerly known as the Puyallup Tribal School, Chief Leschi Schools was founded in 1976 to address the high dropout rate of the youth of the Puyallup tribe. It is the largest of seven tribal schools in the state of Washington and one of approximately 200+ tribal schools in the United States. It is also one of the largest tribal schools to be funded by the Bureau of Indian Education.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    • Create and update attendance records for each student, data enter attendance information on computer, produce and distribute daily absentee bulletin and other computer-generated reports.
    • Establish folders for students with unexcused absences. Maintain folders to include all attendance correspondence.
    • Answer parent/guardian or staff inquiries regarding attendance status of students during the school day.
    • Provide information to parents/guardians and staff pertaining to the student’s overall attendance record.
    • Contact the home of absent students, maintain an attendance log to include date of absence and time, etc.
    • Process student daily requests for re-entry or early dismissal; issue excused or unexcused absence slips.
    • File attendance correspondence such as absence and tardy slips.
    • Check on students believed to be tardy or truant.
    • May enroll and withdraw students; maintains procedures, attendance, data processing, and compliance with state immunization status. Schedule appointments.
    • Maintain accurate records of all students withdrawing from school; include withdrawal date, reason for withdrawal and wherever possible destination of withdrawn student.
    • Coordinate with BECCA compliance issues, up to and including mailing out letters regarding BECCA court filings.
    • Coordinate with the school Enrollment Office regarding monthly attendance, entries, and withdrawals.
    • Track 20 consecutive day absences for State monthly enrollment count.
    • Notify building administrator of students who have been referred to the office for discipline matters regarding attendance issues.
    • Serve as main office receptionist providing primary telephone coverage for all incoming calls.
    • Assist with the daily distribution of incoming and outgoing office mail.
    • Welcome and assist all parents/guardians and other guests to the school.
    • Assists with preparing correspondence, evaluations, bulletins, newsletters and school calendars.
    • Assists with preparation of schedules for employees, purchase requisitions for supplies/materials and equipment, parent conferences and schools’ activities.
    • Coordinates activities for the opening and closing of schools and for special activities such as festivals, graduation, open house and other school events.
    • Performs other relevant duties as assigned.

MINIMUM QUALIFICATIONS

Two (2) years of college, secretarial, business or related vocational training

Two (2) years of clerical experience using computers for data entry and word processing

Experience using Microsoft Word, Excel and Outlook

 

PREFERRED QUALIFICATIONS

Two (2) or more years working directly with a K-6 school attendance program.                                   

Five (5) or more years working as a receptionist within an educational system.                     

Coursework beyond high school in computer software applications

While performing the duties of this job, the employee is regularly required sit and stand for long periods of time.  The employee must frequently reach with hands and arms and is regularly required to talk or hear; stand and/or walk; bend, stoop, twist, squat, and kneel; and use hands to finger, handle, feel and perform fine motor manipulation.  The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 50 pounds.  Anything over the weight limits should be done as a two-person lift or with a mechanical lift.
